Job Description Summary

Provide administrative support to the Financial Services and Operations department. Provide excellent service to a wide variety of customers including staff, faculty, students and the general public. Initiate and maintain precise accounting records.

Essential Duties & Responsibilities (other duties may be assigned)

1. Generate and edit correspondence and financial documents utilizing word processing and/or spreadsheet software.
2. Process the fixed asset extract for capital equipment records; maintain the database and associated records.
3. Generate and maintain research files.
4. Coordinate the equipment tagging process; compile records and equipment photos.
5. Coordinate, authorize, and record disposition of University property through appropriate methods.
6. Monitor donations and other transfers of property.
7. Conduct sale of surplus items using various methods including online auctions.
8. Review and reconcile vendor invoices and purchase orders for capital equipment procurement.
9. Coordinate the annual equipment inventory.
10. Monitor compliance of University property management policies, report deficiencies, and reinforce the need for continued compliance.
11. Obtain and process vehicle title and license plates from the State of Michigan.
12. Process gift-in-kind and fabricated equipment records.
13. Develop a system of mapping for real property with corresponding legal documents.
14. Independently receive and respond to inquiries regarding accounting policy and procedure.
15. Utilize the Banner finance system to enter various adjustments and journal entries.
16. Maintain the security of confidential information.
17. Perform a variety of clerical and administrative duties related to the day-to-day operations of the department as well as additional duties as assigned.
18. Integrate safety practices into daily activities.
19. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.

Required Education (minimum requirements)

• High school diploma, or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Required Experience (minimum requirements)

• Five years of office administrative experience.
• Proficiency with personal computers and basic software packages including word processing and database and spreadsheet applications.
• Three years of work experience and/or coursework in bookkeeping or accounting.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine correspondence. Ability to effectively present information in one-on-one situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
Ability to apply common sense understanding to carry out detailed but involved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
